How we handle your information
NS Education Agency is an operating name of VCEE Education & Employment Agency Ltd. This page explains what personal information we collect when a family or a school contacts us, why we collect it, who we share it with, and how you can see it or have it deleted.
Who is responsible
Questions about your information go to our privacy contact. Write to Unit 334, 5991 Spring Garden Road, Halifax, NS B3H 1Y6.
Students under 18
For a student under 18, we deal with the parent or legal guardian. We ask a parent or guardian, not the student, to fill in our forms and to give consent on the student's behalf. If we learn that a child has sent us details without a parent's consent, we delete them.
We contact a student under 18 directly, for example when they arrive or at a check-in, only with a parent's written agreement, and we report back to the parent.
What we collect
- Families: the name, email, phone or messaging number and country of the person contacting us; the student's current grade, English level and the kinds of school they are interested in; and anything else you choose to tell us. Later, if you work with us, copies of the school application documents you give us. We never hold original passports or documents.
- Schools: the name, role and contact details of the person contacting us.
We do not ask for passport numbers, dates of birth or photos on this website. Please don't send them to us here.
Why we collect it
We use a family's information to suggest schools, help with applications and arrival, and keep in touch. We use a school's information to answer it and to manage any agreement we have with it.
Who we share it with
- Schools: we send a student's details to a school only after the family agrees to apply there.
- Homestay: only the details needed, and only with the family's agreement.
- Messaging apps: if you choose to talk to us on WhatsApp (run by Meta, in the United States) or Zalo (run by VNG, in Vietnam), your messages pass through that company's servers and its own privacy rules apply. We use those apps only from the phone number on this website.
- Service providers: the companies that host this website and our email. They store information for us and may not use it for anything else. Some of them keep it on servers outside Canada, where the authorities of that country may be able to access it under their laws.
- When the law requires it.
We never sell personal information. Many of the families we work with live outside Canada, so their information comes to us in Canada when they contact us.
How the forms work
When you press send on a form, your email app opens with your answers filled in, addressed to us. Nothing is sent until you press send in your email app. This website does not use cookies or tracking, and it loads nothing from other companies.
Like any website, the company that hosts this site keeps short-lived records of visitors' IP addresses for security. We do not use them to identify anyone.
How long we keep it
We keep a family's information for two years after we last hear from them, then delete it, unless the law requires us to keep it longer. Copies of passports, transcripts and other application documents we delete sooner, once the school has made its decision. You can ask us to delete your information at any time.
How we protect it
Only our staff who work with families can see their information. We keep it in password-protected accounts and do not leave paper copies unsecured.
If your information is ever lost or accessed without permission in a way that creates a real risk of significant harm to you, we will tell you and the Office of the Privacy Commissioner of Canada as soon as we can.
Seeing, correcting or deleting your information
You can ask to see the information we hold about you or your child, ask us to correct it, or ask us to delete it, by contacting our privacy contact above. We will answer within 30 days. If we need more time, we will tell you in writing within those 30 days, and take no more than 30 more. You can withdraw your consent at any time.
Complaints
If you are not happy with how we handled your information, please tell our privacy contact first. You can also complain to the Office of the Privacy Commissioner of Canada.
